The Position

Swoffers, Guernsey’s leading estate agency, is seeking a proactive and highly organised Open Market Assistant to support the Open Market team in the day-to-day coordination and administration of property sales activity.

This is a varied and fast-paced role involving client liaison, diary coordination, sales administration and general team support. The role also provides wider operational support across the business, including reception cover on a rota basis and administrative support within the Local Market team where required.

The successful candidate will be confident managing multiple priorities, building strong working relationships and delivering a high standard of professional and client-focused support.

The Responsibilities

Open Market & Team Support

  • Provide administrative and PA support to the Open Market team
  • Act as a first point of contact for buyers, sellers, advocates and other clients
  • Manage enquiries via phone, email and in person in a professional and timely manner
  • Assist with arranging property viewings, valuations and appointments
  • Support diary management, meeting coordination and general team administration
  • Prepare Conditions of Sale, take-ons, inventories and associated documentation
  • Assist with property brochures, marketing materials and sales administratio
  • Maintain accurate records, files and property information across internal systems
  • Support the smooth day-to-day running of the department and assist with ad hoc administrative duties where required

Client Due Diligence (CDD) Support

  • Provide administrative support in relation to client due diligence processes
  • Assist with issuing requests for documentation and monitoring responses
  • Maintain accurate records and ensure documentation is saved appropriately
  • Liaise with internal teams to support compliance-related administrative processes
  • Reception & Cross-Team Support
  • Provide reception cover on a rota basis, including greeting clients and handling incoming calls and enquiries
  • Provide administrative cover and support for the Local Market Secretary/PA function one day per week and during periods of absence where required
  • Work collaboratively with wider teams across the business to support operational requirements
  • Assist with holiday cover and wider office support duties where reasonably required

Experience / Qualifications / Education

The ideal candidate will:

  • Be highly organised with strong attention to detail
  • Have excellent communication and interpersonal skills
  • Be confident managing multiple tasks and competing priorities within a busy environment
  • Be proactive, adaptable and solutions-focused
  • Be professional, approachable and client-focused
  • Have strong administrative and organisational skills
  • Be confident using Microsoft Office and general office systems
  • Be able to work both independently and collaboratively as part of a wider team

Desirable

  • Previous experience within administration, PA/EA support, property or a customer-focused environment
  • Knowledge of the Guernsey property market
  • Experience supporting compliance or documentation processes
