The Position
We're looking for an organised, proactive Office Assistant to join the team at Mimosa Ltd.
Mimosa is a fast-growing landscaping, gardening and tree surgery company, and no two days are ever the same. This role is perfect for someone who enjoys variety, takes pride in staying organised, and wants to be part of a business that's always looking for better, smarter ways of working.
You'll work closely with our Office Manager, supporting the day-to-day running of the office while helping us improve systems, streamline processes and embrace new technology, including AI and automation.
We're a hardworking team, but we also enjoy a laugh along the way—so a good sense of humour and the ability to join in with the office banter is definitely a plus!
Following your training period, occasional working from home is available by request.
The Responsibilities
Your responsibilities will include:
- Answering incoming phone calls and assisting customers professionally
- Managing the office email inbox
- Booking plant, machinery and equipment
- Organising supplier and customer deliveries
- Assisting with scheduling and general office administration
- Bank reconciliations using Xero
- Processing purchase receipts and invoices using Dext
- Supporting the Office Manager with general finance administration
- Maintaining accurate customer and supplier records
- Assisting with document preparation and filing
- Helping improve office systems and workflows
- Supporting the implementation of AI tools, automations and more efficient ways of working
- Providing administrative support to the wider management team as required

Experience / Qualifications / Education

Desirable experience includes:
- Previous office administration experience
- Excellent customer service and communication skills
- Confident using Microsoft Office (Outlook, Word and Excel)
- Experience using Xero
- Experience using Dext
- Strong organisational and time management skills
- Good attention to detail
- Ability to prioritise workload and work independently
- Comfortable learning new software and technology
