The Position
The HR & Office Administration Assistant will provide administrative support to the HR & Culture Manager, ensuring the efficient day-to-day operation of the HR function. The primary focus of the role will be managing employment permit and visa administration and assisting with various parts of the onboarding process.
The role will also support a variety of HR and office administration activities, providing an excellent opportunity to develop a broad understanding of Human Resources.
The Responsibilities
As HR Assistant your responsibilities will include:
· Prepare and submit employment permit and visa applications.
· Monitor permit and visa expiry dates and ensure timely renewals.
· Liaise with the Guernsey Customs & Immigration Service and other relevant authorities.
· Keep accurate records of all immigration documentation.
· Assist employees with permit and visa queries.
· Ensure compliance with Guernsey legislation as well as company policies and procedures.
· Prepare offer letters, contracts of employment and new starter documentation.
· Arrange induction paperwork and onboarding documentation.
· Maintain accurate employee records and personnel files.
· Ensure all employee records comply with data protection requirements.
· Provide administrative support to the HR & Culture Manager as required.
Experience / Qualifications / Education
· Excellent organisational skills with strong attention to detail.
· Excellent written and verbal communication skills.
· High level of accuracy and confidentiality.
· Good IT skills, including Microsoft Word, Excel and Outlook.
· Ability to prioritise workload and meet deadlines.
· Professional and approachable manner.
· Ability to work independently and as part of a team.
