The Position

Trident Trust Marine Services Limited is a leading provider of offshore employment solutions to the global yachting and shipping industry. We partner closely with our clients to deliver flexible, compliant, and high‑quality employment services, supporting seafarers and shore‑based professionals worldwide. As our business continues to grow, we are looking for a committed and detail‑focused professional to join our team.

This position would suit a school leaver with no prior marine experience.  This is a permanent role (35 hours per week) within a collaborative team of approximately 18 staff.  Reporting directly to the Crew HR Manager, you will provide day‑to‑day HR and administrative support to a dedicated portfolio of clients across the marine sector.  We are looking for an individual with a valid residency permit.

This is a varied and hands‑on role offering exposure to a wide range of external HR functions in a fast‑paced, client‑focused environment. You will play an integral part in ensuring the smooth delivery of HR services while maintaining the high standards Trident is known for.

The Responsibilities

·        Provide day‑to‑day HR administration support to a portfolio of marine and commercial clients. 

·        Draft and manage written correspondence with clients, employees, and external third parties. 

·        Prepare employment contracts for execution, ensuring accuracy and adherence to client instructions. 

·        Draft contract addendums, employment letters, and contractual variations as required. 

·        Prepare performance management, disciplinary, and capability-related correspondence. 

·        Support onboarding processes, including contract issuance, documentation collation, and employee record setup. 

·        Maintain accurate and up‑to‑date personnel files in line with data protection and confidentiality requirements.

·        Provide general HR administrative support as required.

·        Identify opportunities to improve administrative processes and efficiencies.

·        Assist with ad‑hoc projects and evolving client requirements.

·        Uphold Trident’s professional standards and contribute positively to the teams culture.

·        Organise and coordinate client meetings, calls, and reviews, including preparation of supporting documentation. 

·        Work closely with internal colleagues across various Trident jurisdictions, supporting cross‑border service delivery. 

·        Assist with payroll administration, including data collection and validation where applicable. 

·        Monitor and adhere to bespoke client service level agreements (SLAs). 

·        Liaise with external bodies and service providers as required. 

·        Support audits, compliance checks, and client reporting when requested.

Experience / Qualifications / Education

·        Strong organisational and time‑management skills with the ability to manage competing priorities.

·        Excellent numerical accuracy and attention to detail, particularly when handling contracts.

·        Ability to work methodically, efficiently, and accurately within a deadline‑driven environment.

·        Proactive and adaptable, with a willingness to take initiative.

·        Ability to work independently while also contributing effectively as part of a team.

·        Excellent verbal and written communication skills.

·        Professional and confident manner when dealing with clients and stakeholders.

·        Good IT skills, including experience with HR systems and Microsoft Office (especially Word and Excel).

·        Previous experience in HR, payroll, administration, or a regulated professional services environment (desirable, not essential).

·        Interest in or exposure to the marine, shipping, or yachting sector would be advantageous.
