The Position

To be the first point of contact for patients visiting the practice and to act as a focal point of communication between patients, GPs and other staff ensuring a professional image of the Practice is always presented. 

Strict adherence to patient and Healthcare Group confidentiality at all times and managing data in line with GDPR legislation.

This is a temporary role for 6 months maternity cover but it may be extended or even become permanent for the right person.


The Responsibilities

  • ·         Prepare the reception area at the start of the day.  
    ·         Ensure reception and waiting areas are kept clean and tidy and all literature is up to date.
    ·         Respond to all queries and requests from patients and other visitors effectively, timely and professionally.  
    ·         Respond to requests for appointments by patients, ensuring that patients who need urgent consultations are seen appropriately.
    ·         Receive patients in a courteous manner, monitor flow of patients into the consulting and treatment rooms.
    ·         When patient arrives check the registration information is current, recording any amendments on the electronic patient record system. 
    ·         On arrival for their appointment, advise patients if there is a significant delay and offer them the opportunity to rebook an appointment, or see another GP if an alternative option is available.
    ·         Ensure patients are entered immediately on to the appointment screen so the clinicians are aware that the patient has arrived. 
    ·         Assist patients with poor (limited) abilities.
    ·         Continue to advise patients of waiting times if there is a delay in seeing the clinician.
    ·         Advise patients on the services available to them and assist with the completion of forms for registration and provision of service.
    ·         Provide patients with information on how to make a complaint, if requested.
    ·         Appropriately direct requests for repeat medication and provide patients with prescriptions that have been prepared for their collection.
    ·         To receive financial payments from patients, issue receipts and update the electronic billing system.
    ·         Assist the Accounts Team in retrieval of outstanding debt.
  • ·         Assist with the electronic registration of new patients.
    ·         Reconcile reception report at the end of the day and cash up till.
    • Maintain a professional attitude and demeanour, including courteous interactions with team members in the course of work. 
    • Make recommendations to improve efficiency within the practice.
    • Be able to use own judgement, resourcefulness, common sense and local knowledge to respond to patients’ enquiries and requests.
    • Actively contribute to the work of the Practice, promote the standards of care expected and create energy and enthusiasm for the service.
    • Ensure the effective implementation of tasks through communication with colleagues.
    • Work flexibly as part of the team by assisting colleagues


Experience / Qualifications / Education

  • Good Standard of Education
  • Understanding the need for confidentiality
  • No previous experience necessary
