The Position

We are seeking to recruit a part-time Office Administrator based in our Guernsey office. In anticipation of further growth and future planned expansion, this is an exciting opportunity to work in capital markets for a locally-based company with truly international ambitions.


The Responsibilities

Duties and Responsibilities

Office Administration

  • Reception duties including answering the office switchboard and greeting clients and visitors on arrival at the office
  • Monitoring the company’s email info box and distributing emails as required
  • Post duties including opening and distributing of incoming post and sending of outgoing post
  • Working in conjunction with the Office Manager & Marketing Executive to arrange and book travel for staff
  • Supporting the Office Manager & Marketing Executive with arrangements for TISE hosted events
  • Ordering of Board lunches, stationery, tea and coffee and items for the office vending machine 
  • Communicating with the Guernsey office landlord’s agent on an ad hoc basis
  • Providing holiday cover for the Office Manager & Marketing Executive
  • Supporting the CEO Office with any other duties as required

HR Administration

  • Arranging of bi-monthly TISE Talks sessions and ad hoc training sessions for staff
  • Assisting in the preparation of induction plans and packs
  • Setting up new joiners, processing leavers and staff changes alongside the IT team
  • Keeping the staff intranet updated with any staff changes
  • Purchasing and arranging of cards and gifts
  • Supporting the Head of HR with any other duties as required

Social Committee 

  • Manage the company’s social activities comprising:
  • Arranging and attending the internal Social Committee meetings
  • Organising the changing of the Social Committee members on an annual basis
  • Arranging social events for staff
  • Internal communication with staff
  • Keeping the staff intranet up to date with social event details
  • Working in conjunction with the Marketing Team on the scheduling of social media posts
  • Recording of expenditure to ensure activities remain in budget

Corporate Social Responsibility (CSR) Committee

  • Lead the company’s charitable activities comprising:
  •  Arranging and attending the internal CSR Committee meetings
  • Organising the changing of the CSR Committee members on an annual basis
  • Arranging and attending CSR events, both internally and externally
  • Working in conjunction with the Marketing Team on the scheduling of social media posts
  • Internal communications with staff
  • Keeping the staff intranet up to date with CSR event details
  • Arranging for a new charity to be chosen by staff on an annual basis
  • Regularly communicating with our chosen charity in Guernsey 
  • Recording of expenditure to ensure activities remain in budget

Experience / Qualifications / Education

  • Good level of proficiency in Microsoft Office.
  • Some experience undertaking office administration or secretarial duties would be preferable.
