The Position

To facilitate excellent communication between patients, GPs clinical and non-clinical staff. Provide administrative support to the clinical staff ensuring a professional approach and image for the Practice is maintained. 

Strict adherence to patient and Healthcare Group confidentiality at all times and managing data in line with GDPR legislation 

The Responsibilities

Assist the GPs/clinical staff with all administrative matters relating to patient care for example:

  • Record messages and pass them to the appropriate person.
  • Record requests for home visits and extract records as necessary.
  • Allocate appointments using the computer appointment system.
  • Make telephone calls as required.
  • Update patient information on the electronic record system i.e. medical history, change of address, new patient etc.
  • Filing of records including electronically.
  • Deal with incoming mail.
  • Act on recall lists for smears, diabetes, blood pressures etc.
  • Complete ad hoc data cleansing as directed.
  • Respond appropriately to communication by patients both face to face, by telephone or by correspondence.
  • Respond to Practice work related emails in a timely and efficient manner in line with the Practice policy.
  • Ensure the patients’ medical records are maintained accurately and comply with Practice procedures and guidelines.
  • Liaise with patients as requested by the clinical staff.
  • Assist on reception if required.
  • Work flexibly as part of the team by assisting and deputising for colleagues as required, taking holidays in rotation with colleagues and working at other surgeries within the Group if required during times of staff shortage.
  • Recognise own development needs and identify how these can be met.
  • Undertake all annual mandatory training as defined by the Practice.
  • Comply with all Practice policies and procedures.

Experience / Qualifications / Education

Good standard of education

Previous experience in a role that involves contact with the public
