The Position

Office based role in Guernsey, Channel Islands.

Our client, Vaudin's Funeral Services Limited, is looking for an Office Administrator/PA to join their small, friendly team.  The role also incorporates a Memorial Sales Adviser.

Job Summary

This position represents the company with the public by telephone and in person with customers and guests and must be courteous, professional and helpful. You will provide administrative support to client families, funeral directors, managers and co-workers. You will create estimates, for both funerals and memorials, complete sales of memorials. Good communication and computer skills are necessary. Professional and appropriate dress is required.  Full training will be provided.

The Responsibilities

  • Provide first point of contact with the public. Answer telephones in a professional manner; greet client families and their guests and ensure their comfort.
  • Responsible for making certain the funeral home is “family ready” at any given time. Maintain cleanliness of the reception area, conference rooms, viewing rooms, chapel, restrooms, and administrative areas within the funeral home.
  • Be a conduit of information in and out of the funeral home.
  • Responsible for ensuring appropriate office supplies and other inventory are on hand.
  • Assist in the administrative side of completing, checking for accuracy and filing of the necessary forms and documents associated with Funerals and Memorials.
  • Provide administrative support for funeral directors and managers regarding memorial packages, including creating/designing and printing memorial stencils and service sheets.
  • Remain current with all technology the company provides to enhance job efficiency.
  • When required, serve as liaison between support staff and funeral directors, acting as conduit of information regarding services, client family needs, special requests, meetings and special events, etc.
  • Work with client families to prepare and submit obituaries to newspapers.
  • Light housekeeping to keep the facilities and grounds in perfect order. This includes keeping work areas tidy and general straightening up.  Assistance with daytime funeral and memorial services may be required.
  • Assistance with setting up equipment for services and visitations, tables, refreshments, family display items, etc.
  • Meeting with medical professionals if and when required.
  • Other business related duties as assigned.

 The job holder is required to provide 24 hour cover for the phones service, on a one-week on and one week off basis.  

The working hours for this role are approximately eight hours per day, Monday-Friday (39 hours) as a full-time position.  Weekends are not part of the work week, but in rare cases may need to report in for duty.  Client family satisfaction is of the utmost-importance.

 

Experience / Qualifications / Education

  • A minimum of one year of similar or related experience.
  • Intermediate level office skills including MS Office, digital equipment, company software.
  • Good people skills, with ability to relate to a wide range of people.
  • A compassion for helping families during a difficult time in their lives.
  • High level of attention to detail with effective written and verbal communication skills.
  • Ability to manage time effectively in order to organise and prioritise workload with a number of tasks at the same time.
  • Ability to work under time constraints and conform with established schedules and deadlines.
