The Position
The Athena Group is a private family investment office supporting an entrepreneur across a diverse portfolio of Guernsey businesses & property investments / developments.
We are seeking a highly capable Office & Accounts Administrator to support the day-to-day running of the office and finance functions.
Working directly for the Chairman, this is a key role for someone who thrives in an entrepreneurial environment, is highly organised, numerically strong and can type at speed.
The Responsibilities
- Provide comprehensive administrative & typing support to the Chairman across the portfolio.
- Assist with monthly reporting, including reconciliations, cashflow forecasts and simple financial summaries.
- Produce, format and manage documents efficiently and accurately, including correspondence, reports, contracts and internal records.
- Maintain structured document management and filing systems (digital and physical), ensuring version control, confidentiality and accessibility.
- Prepare and process payroll, ensuring accuracy, compliance and timely submissions.
- Manage diary coordination, meeting preparation and administrative follow-ups as required.
- Support legal, compliance and accounting-related administration where required.
- Support ad-hoc tasks and time-sensitive projects for senior leadership, adapting quickly to changing priorities.
Experience / Qualifications / Education
- Proven experience in an office / accounts administration role.
- Fast, accurate typing skills with a strong focus on presentation and attention to detail.
- Excellent IT skills with high proficiency in Microsoft Office 365 (Word, Excel, Outlook) / Co-Pilot and document management systems.
- Legal secretarial, book-keeping / accounting, HR & payroll, account software experience would be a strong advantage.
- Highly organised, methodical and able to manage multiple work streams simultaneously.
- Professional, discrete and trustworthy, with a strong understanding of confidentiality.
- Ability to leverage AI tools (e.g. ChatGPT, Claude) to streamline administrative processes, enhance documentation and improve productivity would be a strong advantage.
