The Position
We are looking for a Business Support Administrator to join our busy Business Support team. You will be responsible for providing administrative and operational support to the sales and procurement team which includes supporting our procurement processes, software renewals, preparing sales quotes and providing general administrative assistance.
The post holder will be responsible for working with key stakeholders across our Guernsey, Jersey and Dubai operations with the purpose of ensuring that our processes for sales, procurement and purchasing are cost effective, efficient and that we adhere to excellent quality control and governance.
The Responsibilities
Main duties and responsibilities:
- Provide general administrative support to the sales and procurement team, including data entry, scheduling and document management.
- Manage the procurement process from end-to-end, ensuring timely delivery of goods and services to internal stakeholders.
- Maintain accurate records of all procurement activities and related documents.
- Prepare sales quotes and collaborate with the sales team and clients to ensure timely delivery of products and services.
- Responsible for software renewals and licensing management.
- Provide general administrative support to the sales and procurement team, including data entry, scheduling and document management.
- Work closely with vendors to obtain quotes and negotiate pricing to ensure that the organisation is receiving the best value for goods and services.
- Monitor inventory levels and inventory reports, replenish key stock items within maximum and minimum levels. Work with the procurement team to ensure that all necessary supplies are in stock.
- Assist the Managed Print Services team with printer contract quotes and renewals. Order spare parts as instructed and maintain an adequate stock of printer consumables.
- Participate in special projects as assigned by management.
- Comply with local data protection, health and safety legislation and all company policies and procedures.
- Be flexible to take on other duties as and when required.
Experience / Qualifications / Education
Key Criteria:
- An ability to foster and maintain strong supplier relationships in complex vendor landscapes.
- Excellent communication and interpersonal skills.
- Strong organisational skills and ability to manage competing deadlines.
- Strong IT skills with preferably experience in the use of Microsoft 365 and the ability to learn and use internal systems effectively.
- Confident in working under pressure in a fast-paced environment with an excellent attention to detail.
- Able to use initiative to solve problems and find better ways of working.
- Ability to handle confidential information in a sensitive manner.
Desirable Qualifications, Skills and Experience:
- Experience in a sales, procurement or purchasing role with an understanding of commercial terms and contractual agreements.
- Experience in contract and supplier management.
