The Position

The Facilities Manager is responsible for maintaining the company’s property assets, ensuring compliance with legislation and budgets, and providing a safe environment for staff and customers. They will advise the Board on emerging issues and propose preventive actions. They will be working closely with Creasey's Department Store and Marks and Spencer Guernsey as well as the Parent Company, Creasey and Son Limited. 

The Responsibilities

Property & Asset Maintenance

·         Plan and manage maintenance programmes for freehold properties and ensure compliance with lease obligations for leasehold properties.

·         Procure and oversee maintenance contracts for key plant and equipment, including but not limited to:

o   lifts, escalators, air conditioning

o   forklift trucks, hoists, baling machines

o   refrigeration, bakery, and catering equipment.

·         Ensure maintenance work is carried out cost-effectively and on schedule, obtaining competitive quotations where necessary.

·         Follow Planned Preventive Maintenance principles where cost and operationally viable.

·         Respond effectively to unplanned events, this could involve liaison with store teams, the Board, external service providers (and possibly emergency services).  By nature, these unplanned events may occur outside of normal working hours.

·         Work with the Board on building projects, ensuring operational considerations are effectively managed and communicated to those impacted. 

·         Effectively log all maintenance activities, track assets, and schedule planned and reactive maintenance efficiently.  

 

Compliance & Safety

·         Ensure all properties, equipment, and IT systems operate in a safe and reliable manner and that they comply with relevant legislation, including insurance requirements.

·         Establish and manage testing schedules and recording procedures for: 

o        Electrical installations and small appliances

o        Sprinkler systems

o        Intruder alarm systems

o        Fire detection systems

o        Water risk management

o        IT hardware, networking equipment, and telephony infrastructure where applicable

o        Other assets/ systems/ facilities over time 

·         Maintain and update Asbestoses Registers, ensuring they are well understood and compliant.

·         Work with and manage the Boards appointed corporate key holders (for out of hours call outs).

·         Ensure the companies Disaster Recovery Planning document is up to date and reflects the current business needs.

·         Implement appropriate control and monitoring systems to provide evidence of compliance for insurance and regulatory purposes.

 

Environmental & Cleaning Management

·         Promote the use of low-energy or environmentally friendly consumables where cost-effective.

·         Oversee cleaning operations, whether managed internally or through external contractors, covering areas determined by the Board, but would include: 

o        Staff and customer areas

o        Windows

o        Refrigerators, bakery and catering equipment

o        Staff and public toilets

o        Deep cleaning schedules as required

·         Manage stock and procurement of consumables such as light bulbs, cleaning supplies and sanitary equipment.

 

IT & Telecommunications

·         Working with the Boards chosen IT and Telecoms providers assist with the maintenance and reliability of IT infrastructure and telecommunication systems, including landlines, broadband, and any other business-critical systems.

·         Liaise with IT service providers to ensure timely maintenance, troubleshooting, and upgrades.

 

Budgeting & Cost Control

·         Prepare and monitor budgets for facilities-related costs.

·         Approve invoices and ensure accurate allocation to cost headings.

·         Monitor expenditure against budgets and report variances where necessary.

Experience / Qualifications / Education

Knowledge / Skills & Experience:

·         Experience in Facilities and Building Management 

·         Ability to manage multiple tasks

·         Computer literate including Excel, Word and Outlook

·         Excellent interpersonal skills with strong communication abilities

·         Highly organised, methodical, and diligent

·         Flexible and adaptable to changing business needs

 Whilst the hours worked will need to be flexible it is not a requirement that Saturday work will be expected. However, it is recognised that, for operational reasons, many tasks of maintenance will be undertaken out of retail opening hours and at weekends. It would be anticipated that some checking and supervision of these tasks will require attendance at irregular times of day and at weekends.
