The Position
Please note: this role is shared between the Grange and Longfrie Practice. Hours are set at 1pm to 6pm Monday to Friday.
The Doctors’ Personal Assistant will be responsible for supporting clinicians to provide the highest service possible to our Patients. at both the Longfrie and Queens Road Medical Practices. The PA Team provides an essential communication link with patients both via telephone and written communication. Updating the clinical system, calling Patients with results and relaying messages from GP’s are all essential tasks conducted by the PA’s. The ideal candidate will have a strong commitment to patient-centred care and will contribute to a positive work environment.
The Responsibilities
Key Job Responsibilities:
· To promote and foster a positive, collaborative and inclusive environment that seeks to develop teamwork, new ideas and open communication.
· Participate fully in the ‘Practice Improvement Plan’.
· Answering all telephone calls in a timely manner.
· To coordinate doctors’ daily schedule.
· Accountable for designated Clinicians.
· To contact patients with path and workflow results (tasks) daily.
· To record, respond and complete patient messages and queries in EVO (daily).
· To record and arrange home visit requests.
· Arrange Repeat prescriptions.
· Manage Monthly Recalls.
· Perform PA duties for other Clinicians due to PA absence and assist other PA’s in periods of low workload.
· Chaperone.
· Referral Letters to MSG.
· Referral to District Nurses and Community Services.
· Set up Acute New Patients / Visitors on Evo.
· Arrange Annual Disability Health Checks in line with Surgery Procedure.
· Process Insurance Claims in line with Surgery Procedure.
· PA email inbox items to be actioned in a timely, appropriate manner.
· To be a trusted representative for the GP’s.
· Open and close the surgery and test alarms according to surgery procedure.
· Attend mandatory training.
· Engage in H&S and Risk Management training and remain aware of requirements whilst carrying out any role within the organisation.
· To work as required between the Longfrie and Queens Road Practices, in order to meet the needs of the business with regards to absence or otherwise.
- Any other tasks as reasonably required.
Experience / Qualifications / Education
Qualifications:
- GCSE Maths and English (C or above).
- Medical terminology (desirable).
Knowledge, Skills and Experience Required:
- Strong communication and interpersonal skills.
- Ability to work effectively in a team-oriented environment.
- Proficient in Microsoft Office.
- Previous Experience Required.
· Flexible with working location / covering absence, as per Contract.
· Ability to prioritise workload effectively.
· Ability to work independently and on own initiative.
· Ability to handle all information confidentially and appropriately.
· Approachable and calm.
· Presentable.
