The Position
The Facilities, Stock, and Maintenance Officer will be responsible for supporting the Health & Safety team, overseeing the operational aspects of our medical practices, ensuring that facilities are well-maintained, stock levels are adequately managed, and maintenance issues are promptly addressed. This role is crucial in maintaining the overall functionality and safety of both our Queens Road and Longfrie practice. The ideal candidate will have a strong commitment to pro-active, methodical and organised working as well as reactive tasks. The Candidate will contribute to a positive work environment.
The Responsibilities
Key Job Responsibilities:
Facilities Management:
- Monitor and maintain the physical condition of the practice, including offices, waiting areas, treatment rooms, restrooms and all outdoor areas.
- Coordinate and oversee routine inspections, cleaning, and repairs to ensure compliance with Health and Safety regulations.
· Arrange annual deep clean.
· Liaise with external contractors for maintenance and repair services, ensuring work is completed to a high standard, these may include but are not limited to;
- Medical Equipment Specialists.
- IT and Print Contractors.
- General Builders and Tradespersons.
- Lift Maintenance Contractors.
- Gardeners and Landscapers.
- Waste Management Contractor.
- Office supplies providers.
- Payment Machines Providers.
- Confidential shredding providers.
Stock Management:
- Manage inventory levels of medical supplies, equipment, and office materials, ensuring adequate stock is available at all times.
- Order and restock stationary, equipment and other supplies as needed, maintaining relationships with suppliers for efficient procurement.
- Conduct regular stock audits to minimise waste and manage costs effectively.
· Pathology orders (Weekly).
Maintenance Coordination:
- Identify maintenance issues and coordinate timely repairs to minimise disruption to practice operations.
- Develop and implement a preventative maintenance schedule for equipment and facilities.
- Maintain accurate records of maintenance activities and stock inventory.
- Coordinating of annual calibration of Medical Equipment.
Health and Safety Compliance:
- Ensure that all facilities adhere to health and safety regulations, conducting risk assessments and implementing necessary changes.
- Train staff on basic Health and Safety practices related to facilities and maintenance.
· Periodic tests including but not limited to, water testing, fire safety, electrical safety.
General Support:
- Assist in the development of budget proposals for facility and stock management.
- Provide support for special projects, events, and other operational needs as required.
Other duties as reasonably required.
Experience / Qualifications / Education
Qualifications:
- Relevant qualifications preferred but not essential.
Knowledge, Skills and Experience Required:
- Strong communication and interpersonal skills.
- Proven previous experience in facilities, stock control, or maintenance within a healthcare or similar environment.
- Strong organisational and time management skills, with the ability to prioritise tasks effectively.
- Proficiency in using inventory management software and other relevant tools.
- Knowledge of Health and Safety regulations and best practices.
